Vehicle wrap

Dry hire is the machine and grinder only — no barista and no consumables. You will need 2 × 13 amp sockets.
Your artwork
Upload your logo and we will send you a proof before anything is printed. JPG, PNG, PDF, AI or EPS, up to 20MB each. Vector files (AI, EPS or PDF) give the sharpest result.

Your details

We need a 1–2 hour set-up window, ideally the day before. No need to get everything down now — as soon as you have booked we email you a short event details form where you can add delivery and collection times, stand number, access and any special logistical requests.

Booking terms and conditions
Set-up
We will require a 1–2 hour set-up window.
Ideally the day before, with set-up time to be agreed in advance.
We need to be advised in advance of contact personnel for set-up.
Please be advised that no plumbing is required for our service.
On stand requirements
Minimum space of 1.5m × 1.5m for the bar and baristas.
Taking up a floor space area of 2.25 square metres.
Access to 2 × 13 amp electrical sockets (one rated at 3kw, one rated at 2kw).
If you are providing your own bar, we need a minimum of 580mm depth and 1100mm width.
Staff and hours of service
Our daily fee is charged based upon 8 hours of service. Our baristas are entitled to a 30 minute break if the service period is under 8 hours, or a one hour break if the event runs for 12 hours.
Booking terms
Please check the details on the invoice (location, timings and so on) are correct, as our barista job cards are created from the invoice, so it is imperative these details are correct. By paying the invoice you are agreeing that the invoice contents are correct for your event or activation.
For online bookings, your card is authorised at checkout and charged when our events team confirms your date — that confirmation is when your booking is confirmed. For approved corporate clients where Tom’s Coffee is an accredited supplier, written confirmation by email, an authorised purchase order, or payment of the booking invoice will confirm the booking.
Once confirmed, we will reserve the event date and begin planning, purchasing materials and preparing any artwork required.
Requests to change an event date must be made in writing. We will make reasonable efforts to accommodate changes, subject to availability.
If the client cancels more than seven calendar days before the event, Tom’s Coffee will refund 50% of the booking value.
If the client cancels within seven calendar days of the event, no refund will be given. However, at our discretion and subject to availability, the booking value may be transferred once to a replacement date taking place within 12 months.
Bespoke, branded or specially purchased items — including printed cups, artwork, branded materials and third-party costs — are non-refundable once ordered or work has commenced.
Any cancellation or date-change request must be made in writing by email.
Non-solicitation of personnel
The Client agrees that it shall not, directly or indirectly, solicit, employ, engage, or attempt to solicit, employ, or engage any barista, contractor, or staff member supplied by the Company for any work or services outside of this agreement, whether on a temporary, permanent, freelance, or casual basis, without the prior written consent of the Company. If the Client breaches this clause, the Client shall be liable to pay the Company a fixed recruitment charge of £10,000 to compensate for recruitment, training, and operational losses.
Loss, damage and operator responsibility
The Hirer accepts full responsibility for the care, safe use, and proper operation of all hired equipment for the duration of the hire period. The Hirer shall be liable for any loss, theft, damage, or malfunction of the equipment arising from misuse, negligence, improper installation, or failure to operate the equipment in accordance with the supplier’s instructions. This includes, but is not limited to, damage caused by operating the coffee machine without an adequate water supply (water starvation). Should the equipment cease to function due to water starvation or other operator error, the Supplier reserves the right to charge a call-out fee together with the full cost of any inspection, repair, replacement parts, and associated labour.

Your booking is confirmed by our events team within one working day. Your card is authorised at checkout but not charged — we only take payment once your date is confirmed. Straight after booking you will receive an event details form, so anything you have not decided yet — timings, access, stand number, special requests — can be added then.
